AdminPlus.com Release 6

We've released several new features, improvements, and feature fixes for AdminPlus.com.
Non-hosted schools should update to Administrator's Plus 6.2.17.01. 

Edit features described here require that the school be edit enabled and have selected to edit the necessary modules, please see Administrator's Plus release notes.
Highlights of this update include:

New Features
Enrollment Center DashboardEnrollment Center shows the current Student to Teacher Ratio and the total number of Active Students and Teachers. It lists the five most recently added student or staff records and allows you to add new students or staff manually or through Admissions or AdminPlus Registrations Forms.
Receive New Student Registration from Online FormsYou can now receive student registrations on AdminPlus.com from AP Online Forms. Expand the view to review and approve students who have applied to your school via an online form.
Receive New Student From AdmissionsYou can now receive new students on AdminPlus.com from Admissions. Expand the view to review and approve students who have applied to your school via Admissions.
Add a New StudentThe option to Add a New Student in AdminPlus.com is now available. Select Add on the line of the Grade Level to which you would like to add the student to.
Add New StaffThe option to Add New Staff in AdminPlus.com is now available. Select Add next to Teaching or Non-Teaching depending on their role at the school.
Student Snapshot Profile Edit Icon AddedEdit Icon in the Student Profile Widget has been enabled to allow users to Edit the student profile including Grade Level, Name, Calendar, Primary Language, and Household ID. For students who have been inactivated, they will now display a red Inactive banner across their photo.
Staff Snapshot Profile Edit Icon AddedEdit Icon in the Staff Profile Widget has been enabled to allow users to Edit the staff profile including Staff Type, Name, Calendar and Primary Language. For staff who have been inactivated, they will now display a red Inactive banner across their photo.
Student Snapshot Profile Edit PhotoHover over a Student photo to add a new photo or edit an existing photo.

Improvements
Grades TileIn the Grades Tile on the One Student > Snapshot screen, Gradebook Average or Gradebook Grade for a marking period can be selected for view.
E-Mail Settings Set By UserUsers can set the Display As Name and Reply E-Mail when sending e-mails in AdminPlus.com.
E-Mail: Other CodesAdditional codes have been added for use in personalizing emails under Send > Send/Schedule Email > Type >Other Email Codes.

New Features

Enrollment Center Dashboard

The Enrollment Center displays the current Student to Teacher Ratio as well as the total number of active students and teachers. It also features a list of the five most recently added student or staff records. Additionally, the Enrollment Center allows you to receive new student information from Online Forms, Admissions and manually add new students or staff.

Receive New Students Registrations from Online Forms

Registration type forms can be received in the Enrollment Center in the Receive Registration Forms widget, the number of Incomplete, Submitted, Enrolled, and Deleted are displayed. Select to open the Approval Center and review student registrations.

To Receive Online Forms, Enrollment, Demographics, Contacts, Portfolio, and SuperDB edit must all be set to classic or AdminPlus.com - not a mix.  If edit is on in classic for the 5 modules, then forms approved in the OLF Manager need to be received via the holding bin in classic and will be sent with Sync Changes to AdminPlus.com.  If edit is on in AdminPlus.com for the 5 modules then Submitted forms can be Approved into AdminPlus.com and will be received later in classic with the next Receive changes.

Receive New Student From Admissions

Prospects sent from Admissions can be reviewed in the Enrollment Center. In the Receive from Admissions widget, the number of prospects Sent from Admissions, Corrections Required, Approved, and Deleted forms are displayed. Select  to open the Admissions Holding Bin to review the Prospect forms.

To Receive from Admissions; Enrollment, Demographics, Contacts, Portfolio and SuperDB edit must all be set to classic or AdminPlus.com. It cannot be a mix. The school year must also be mapped in Admissions. For more information about that, see Add a New Year - AdmissionsPlus and Set Up AdmissionsPlus To Send Prospects to AdminPlus.

Add a New Student

In the Enrollment Center, the Add Students widget allows users to add new students by grade level. The Count column shows the number of students currently enrolled in each grade. By clicking the Settings icon in the top right corner, users can set default values for Entry Code, Entry Date, Primary Language, as well as choose up to 20 demographic fields to include in the enrollment process. To add a student to a specific grade level, click +Add, assign their household, and enter the selected demographic information.

To Add a New Student; edit must be set to AdminPlus.com for Enrollment, Demographics, and Contacts.

Add New Staff

In the Enrollment Center, the Add Staff widget allows users to add new staff members by Staff type of Teaching or Non-Teaching. Click the Settings icon in the top right corner to configure default values for Entry Code, Entry Date, and Primary Language, and to choose up to 20 demographic fields to include in the enrollment process. To add a staff member, click +Add, specify their type, and enter the selected demographic information.

To Add New Staff; edit must be set to AdminPlus.com for Enrollment and Demographics.

Student Snapshot Profile Edit Icon Added

The Profile Tile edit Icon in the Student Snapshot widget is now enabled, allowing you to edit a student's profile details such as Grade Level, Name, Calendar, Primary Language, and Household ID. To inactivate a student, you can enter a Withdrawal Date and Withdrawal Code. Once inactive, a red banner will appear on the student's picture, and they will not show up in searches unless the "Include Inactive" option is set to Yes. Select the Trash Can Icon to Delete a Student. Students that have Billing or Payment records cannot be deleted. To Edit Student details, select below the student photo.

Enrollment edit must be set to AdminPlus.com to use this feature.

Staff Snapshot Profile Edit Icon Added

The Profile Tile Edit icons in the Staff Snapshot widget is enabled for schools that select to edit Enrollment in AdminPlus.com, allowing you to edit staff profile details such as Staff Type, Name, Calendar and Primary Language. Choose Inactivate to input a Withdrawal Date and Withdrawal Code. A red Inactive banner will appear on the corner of the staff photo, and the staff will not appear in lookups unless Include Inactive is set to Yes. If a staff member is inactive, a Reactivate icon will replace the Edit option, allowing you to reenroll a returning them. To Edit Staff details, select below the staff photo.

Enrollment edit must be set to AdminPlus.com to use this feature.

Student Snapshot Profile Edit Photo

Users can add a new photo or edit an existing one by hovering over a student’s photo if the school has selected to edit Demographics in AdminPlus.com. Select the Edit icon that appears. This will open the photo editor, where you have the options to crop or resize the image, delete the current photo, or upload a new student photo.

Demographic edit must be set to AdminPlus.com to use this feature.

Staff Snapshot Profile Edit Photo

Users can add a new photo or edit an existing one by hovering over a staff photo if the school has selected to edit Demographics in AdminPlus.com. Select the Edit icon that appears. This will open the photo editor, where you have the options to crop or resize the image, delete the current photo, or upload a new staff photo.

Demographic edit must be set to AdminPlus.com to use this feature.

School Daily Attendance Day's Absences Report

A report with a list of Students based on attendance criteria for a selected date. Similar to the Advisor's Report in classic, up to 3 demographic fields can be added to this report.

A report with a list of students based on an attendance search for a date range.

School Daily Attendance Selected Student Report

A report with a list of selected students, an attendance summary, and details for a date range.

Improvements

Grades Tile

You can choose to view either the Gradebook Average or Gradebook Grade for a marking period, along with which marking period to view the grade or average for.

Courses that track standards and derive grades from these standards do not have a Gradebook Average. For these courses, the Gradebook Grade will be represented by the grade symbol specified by the Gradebook Manager, which is sent back to Administrator's Plus for the calculated Achievement Level.


E-Mail Settings Set By User

In AdminPlus.com, users have the ability to customize the Display As Name and Reply E-Mail when sending emails. By default, the Display As Name is set to your Administrator’s Plus Username, and the Reply E-Mail defaults to the email address used for logging into Administrator’s Plus. To modify these default settings, navigate to Send > Send Schedule E-Mail > Settings located in the top right corner.

E-Mail: Other Codes

New codes have been introduced for personalizing emails, accessible under Send > Send/Schedule Email > Type > Other Email Codes. The following codes have been added:

  • CPronoun1 (He, She, They) 
  • Pronoun1 (he, she, they) 
  • CPronoun2 (Him, Her, Them) 
  • Pronoun2(him, her, them) 
  • CPronoun3 (His, Her, Their) 
  • Pronoun3(his, her, their) 
  • Descriptor (son/daughter/child) 
  • E-Mail Date (Date E-Mail Sent) 

Feature Fixes

Student Incident Export

Incident dates were previously exported as text. This has been resolved and it is now exporting as a date instead of text.
