One Student: Contacts

The Contacts condensed view keeps the top tiles (Profile, Contacts, Daily Attendance, and Schedule) in view and displays Contacts in table format underneath. Please refer to the diagram and table below for additional information about the features of the Contacts screen:

Edit features are only available if the AdminPlus Supervisor has requested edit from apcom@rediker.com and has selected to edit Contacts in AdminPlus.com.

The Contacts Layout default is Default: One Student. The layout determines the columns and order. If you've created other contacts layouts you can select them here.

Layout Options can be used to manage Contact Layouts. Contact Layouts in AdminPlus.com are now independent of Contact Layouts in classic.

Click the expand icon to see the expanded Contacts view which displays the student picture, name, and three selected demographic fields from the profile widget. The top tiles are hidden so more contacts can be viewed. Once expanded the screen will stay in that mode, to return to the condensed view click on the collapse icon.

Search on any field by clicking the column header. Click on Contains to toggle to Begins with.

Add New Contact allows you to Add an Existing Contact to a Student or Create a New Contact

Click ellipsis icon to do one of the following:
  • Edit the contact
  • Linked Students to see a list of the students the contact is linked to.
  • Remove Contact From This Student will remove the contact from this student's contact list.  The Contact can be deleted from the Master Contact list if they are not linked to any other students.

Click the expand icon next to the Contact Full Name to open the View Contact screen.

Add an Existing Contact to a Student

To add an existing contact to a student, do the following:

  1. Select Students > One Student.
  2. In the Snapshot Contacts tile, click . The Add New Contact box opens.
    You can also add a contact on the Contacts Tab > Select Add New Contact 
  3. There are three different ways to add an existing contact to a student. Choose one of the following options:
    • Contacts from students in the same household: When selected, this option will display any non-household contacts that are linked to students who have the same Household ID.
    • Contacts found from students with the same last name: When selected, contacts of other students with the same last name will display.
    • Select From All Contacts: to search all contacts by either Contact details or Student details.

      Choose to search using Contains or Begins with and type 3 or more characters to limit the search results. Click Search.

  4. Linking New Contact screen will display Contact Name, Primary Email Address (if used in search), Home Phone number and linked student's Name, Relationship to Student, grade, year, and school.

  5. Select Next.
  6. Confirm this is the correct contact by checking that the data under Basic Details Global Fields are correct. Editing Household Fields (ie. Address, Home Phone Number) will update that information for the students and other contacts in that household.
  7. Under Local Fields, set the following:

    • Relationship: This will apply what the relationship of this contact is to the student. Select Primary Contact if this is the primary contact for this student.

    • Permissions: If this contact should have access to PlusPortals, select Enable Parent Portal Access.

    • Reports: Select which types of reports can be printed for / sent to for this contact.

  8. Select the Custom Defined Fields tab. Here you can update the data in the Custom Defined Fields. Any changes made to Global Fields will always apply to this contact. Any changes made to the Local Fields will only apply to this student.

  9. Select Save after confirming their details. 

Create a New Contact

If the contact does not already exist in the school, Create New Contact.  To add a new contact to a student, do the following:

  1. Select Students > One Student.
  2. In the Snapshot Contacts tile, click . The Add New Contact box opens.

    You can also add a contact on the Contacts Tab > Select Add New Contact 

  3. The Add New Contact window opens select Create New Contact.
  4. The Add New Contact window opens. Enter in the information for the contact.
    Last Name and Relationship are the only Mandatory fields.

Enter the Contact Name:
  • Salutation (optional)
  • First Name
  • Middle Name
  • Last Name (Mandatory)
  • Suffix

Basic Details Global Fields: The details entered on the left are considered Global Fields. This is because they remain the same for the contact regardless of the student the contact is connected to. Global fields contain the following:
  • Language choice
  • E-mail Address
  • Home Phone and Mobile Phone
  • Household ID
    If this contact is associated with another student, that Household ID will display.
  • Home Address

Basic Details Local Fields: The details entered on the right are considered Local Fields. Local Fields only apply to the contact in relation to this student.
Local Fields contain the following:
  • Relationship (Mandatory) and the option to select Primary Contact.
    A student must have one Primary Contact.
  • Permissions to:
    • Enable Parent Portal Access.
    • Select which Reports for the student can sent to or be printed for this contact.

Custom Defined Global Fields: The fields viewed on this tab are custom fields defined by the school. These fields will remain the same no matter which student this contact is linked to.

Custom Defined Local Fields: The fields viewed on this tab are custom fields defined by the school. The field values will differ depending on which student they are linked to.

Your school created a field called Pick-up. The contact may be linked to two students. This field will establish if the contact can pick up the child from school.

Edit Contact

Click the ellipsis  icon to open the Edit Contact window.

If the Contact no longer lives with the student update Household to either Lives with another student or Lives with no student before changing the address.  Updating the address will update the address for all students and contacts with the same Household id.

Linked Students

Click the ellipsis  icon to the left of the contact's name to view Linked Students.

Remove Contact from This Student

Click the ellipsis  icon to the left of the contact's name to Remove Contact from This Student.  

Note: Once a contact has been removed from students they can be deleted in Master Contacts if they are not linked to any students.
