Once you've set up the discipline codes for your school, you can use them to manage disciplinary incidents.
Disciplinary incidents must contain at least one infraction, but may contain additional infractions and actions, as well as other details concerning the incident. These details may include teachers involved, location and/or time of the incident, and comments.
You can add follow-up meeting dates, letter codes for letters sent (or being sent) to parents, served codes for actions served, and user-defined data from custom data tables.

Review a Student's Discipline Record
You can review discipline records for students in your school.
Important: Your Administrator's Plus administrator must give you permission to review disciplinary incidents.
- Click , and then click Incidents.
- In the Lookup list, click a name to display the student's discipline history in the right panel. The incidents you see depend on the date range set for your record search.
Tip: To change the date range for your record search, click and edit the Beginning Date and Final Date.
Note: When you exit Discipline Plus, the Beginning Date is saved, while the Final Date defaults to the current date.

A | Displays the incidents associated with the student in reverse chronological order, along with the dates the incidents occurred. Double-click an incident to view its details. (See View Details for a Specific Incident.) |
B | Indicates the number of times the student has been involved in a specific incident. |
C | Y indicates the incident is open, meaning the student hasn't served all penalties received for the incident. |
D | Displays the date the incident is reviewed or revisited. Examples include the date for a parent-teacher conference or a meeting with a student returning from suspension. |
E | Displays the first action linked to each infraction. |
Note: Depending on your Administrator's Plus setup, the student's penalty totals may appear in the upper-right corner of the Home screen.
Tip: To generate a discipline report for the student that shows all incidents with details, click , and then Default.
View Details for a Specific Incident
Follow these steps to view details for a specific disciplinary incident:
Important: Your Administrator's Plus administrator must give you permission to view disciplinary incidents.
- On the Shortcut bar, click Discipline and then click Incidents.
- On the left panel, click Lookup [F6] and then double-click the student's name.
The View and Edit Incidents dialog box opens, displaying incidents based on the date range set for your record search.
Important: If you don't see the incident, click Specs. [Alt+S] on the left panel and edit the Beginning Date and Final Date to include the date for the incident you're searching for.
When you exit Discipline Plus, the Beginning Date is saved, while the Final Date defaults to the current date.
- Optional: Click Total or Outstanding to display the student's total or outstanding penalty amount for the incident in the upper section of the dialog box.
- Double-click the incident you want to view.
The Viewing One Incident dialog box opens.

A | Displays the total amount of outstanding penalty related to the incident. |
B | Displays the infractions and their linked actions. |
C | Displays the number of times an infraction has occurred (RP) as well as the penalty codes (PEN) and penalty amounts (AMT) for the linked actions. |
D | Letters in the Type (T) column represent additional information related to the incident. Hover the cursor over a letter to see the type of information it represents. |
E | When you click a user-defined entry, such as Victim (V), information concerning the entry appears in the section on the right. |
Add Incidents Submitted by Teachers and Staff
If permitted by your Administrator's Plus administrator, you can receive disciplinary incidents submitted by teachers and staff, automatically saving the incidents to students' records.
Important: The Administrator's Plus administrator must give you permission to view incidents submitted by teachers and staff. The PlusPortals administrator must give teachers permission to submit disciplinary incidents.
- On the Shortcut bar, click Discipline, and then click Incidents.
- On the left panel, click Holding Bin.
- Click Yes to check for new incidents, and then click Done.
The View Holding Bin Incidents dialog box opens, displaying the submitted incidents.
Note: If a message notifies you that the holding bin is empty, click Done.

A | If your school uses the AdminPlus mobile app, click Mobile Apps to view incidents submitted by administrators. Click PlusPortals to view incidents submitted by teachers. |

- Do one of the following to save incidents to a student's discipline record:

Save multiple incidents | Select their check boxes and click Save Selected Incidents. |
Save all incidents in the holding bin | Click Select All, and then click Save Selected Incidents. |
Warning: If Administrator's Plus is set up to automatically sync with PlusPortals, new incidents automatically display in the parent portals when saved to the students' records. To disable auto-syncing, on the Toolbar, click Setup>School Office Suite (SOS) Interface Options, and next to Auto Send to TeacherPlus and PlusPortals, click No.
Manually Add Incidents to a Student's Record
To manually add a disciplinary incident to a student's record, follow these steps:
- On the Shortcut bar, click Discipline, and then click Incidents.
- On the left panel, click Lookup [F6] and double-click the student's name.
- On the left panel, click Add [F2].
The Viewing One Incident dialog box opens.
Important: Because the incident takes its name from the first infraction, add the most serious infraction first. You can add up to five infractions to one incident.
- Click Lookup [F6] and double-click the infraction you want to add.
The infraction (I) and the default action (A) appear in the Viewing One Incident dialog box. The student's outstanding penalty amount for this incident, displayed in the upper section of the dialog box, changes to reflect the addition of the infraction.
Note: The action date is determined by your default specifications. Change the date by double-clicking it and typing a new date. (To change the default action date, see Set a Default Date for Actions.)
The letters in the Type (T) column correspond to information you can add to an incident. See the table below for details.

P | Location and/or time of day the incident occurred. You can add up to five location codes. Tip: If your staff consistently enters location codes when submitting incident reports, you can use the information to generate a report that shows the areas in your school and times of day that may require more supervision. See Statistical Reports for details. |
F | Date for a follow-up (such as a meeting with a student returning from suspension). The follow-up date defaults to the current date, but you can change the date by double-clicking it and typing a new date. |
C | Comments related to the incident. You can add up to 10 comments, each containing up to 45 characters. Warning: Parents can see comments when you save the incident to the student's record and sync Administrator's Plus with PlusPortals. |
L | Letters sent or scheduled to be sent. You can add up to five letters with different print dates. The print date defaults to the current date but you can change the date by double-clicking it and typing a new date. (See also Discipline Codes Overview and Default Letter Codes for Incident Reports.) |
S | Time served for the penalty. You can enter up to 30 served codes. When you enter a served code, the amount of time served is deducted from the penalty amount (AMT) and the penalty totals in the upper section of the Viewing One Incident dialog box. (See About Entering Time Served for Penalties for details.) |
V | Click to view details concerning victims involved in the incident. |
- To add the information described above, click the appropriate row, click Add [F2], and then click Lookup [F6] to select a code from the list.
Tip: You can also double-click a row, type a known code abbreviation in the Code column, and press Enter.

- When finished adding information to the incident, click Done [F10].
The incident appears in the View and Edit Incidents dialog box when you click the student's name, and the student's total outstanding penalty amount changes to reflect the additional penalty.
Warning: If Administrator's Plus is set up to automatically sync with PlusPortals, new incidents automatically display in the parent portals when saved to the students' records. To disable auto-syncing, on the Toolbar, click Setup > School Office Suite (SOS) Interface Options, and next to Auto Send to TeacherPlus and PlusPortals, click No.
Default Letter Codes for Incident Reports
The following table describes the default letter codes entered in incident reports either by staff when adding or editing an incident, or by Letters/Report Writer when generating letters. Each code represents a specific default letter template. (For more information, see Manage Disciplinary Incidents or Options for Generating Discipline Letters .)

Edit Incidents
Even though teachers can’t make changes to incidents after they submit them, as an administrator with editing permissions, you can edit incidents using the following steps:
Important: Your AdminPlus administrator must give you permission to edit disciplinary incidents.
- On the Shortcut bar, click Discipline, and then click Incidents.
- On the left panel, click Lookup [F6] and double-click the student's name.
- Double-click the incident you want to edit.
The Viewing One Incident dialog box opens.
Important: If you don't see the incident, click Specs. [Alt+S] on the left panel and edit the Beginning Date and Final Date to include the date for the incident you're searching for. When you exit Discipline Plus, the Beginning Date is saved, while the Final Date defaults to the current date.
- Edit the incident as described in the table below and click Done [F10].

Edit information | Double-click the row you want to edit and click Lookup [F6] to select a different code from the list. You can also type a known code abbreviation in the Code column. Warning: When you select a different infraction code, actions linked to the code do not automatically update. |

Edit comments | Double-click the comment and make the appropriate changes in the Comment dialog box. Click Spelling [F7] to spell check the comment. Click Accept [F10] to save your changes. Warning: Parents can see your comments once you save the incident to the student's record and sync AdminPlus with PlusPortals. |
Delete information | Click the information and click Delete [F8]. Important: You cannot delete the first infraction entered for an incident. You can select a different infraction, or you can delete the incident in the View and Edit Incidents dialog box. |
Edit custom data | Double-click the data and begin typing, or click Lookup [F6] to select new data. |

Add Photos to an Incident
Follow these steps to add a photo to a disciplinary incident:
Important: Your Administrator's Plus administrator must give you permission to edit disciplinary incidents.
- On the Shortcut bar, click Discipline, and then click Incidents.
- On the left panel, click Lookup [F6] and double-click the student's name.
- Double-click the incident you want to add a photo to.
Important: If you don't see the incident, click Specs. [Alt+S] on the left panel and edit the Beginning Date and Final Date to include the date for the incident you're searching for. When you exit Discipline Plus, the Beginning Date is saved, while the Final Date defaults to the current date.
- In the upper-right corner of the Viewing One Incident dialog box, click No Picture.
- The Viewing one incident: REF# [number] dialog box opens.
Photo Options | |
A | Use along with the side and bottom slider bars to edit the magnification and position of the photo within the frame. |
B | Return to the default magnification and position settings. |
C | Browse photos saved to the incident report. |
D | Add a photo. In the Open dialog box, browse for the relevant photo, highlight it, and then click Open. |

Note: Images linked to discipline incidents are saved in the RS4\Data\School Name\School Year\ Pix_DS folder.
Delete Incidents
Even though teachers can’t delete incidents after they submit them, as an administrator, you can delete submitted incidents anytime using the following steps:
Note: When you delete an incident from a student's discipline record, the student's total outstanding penalty amount decreases to reflect the deletion.
- On the Shortcut bar, click Discipline, and then click Incidents.
- On the left panel, click Lookup, and double-click the student's name.
- Click the incident you want to delete, and then click Delete [F8].
- Click Yes to confirm the deletion.
Important: If you don't see the incident, click Specs. [Alt+S] on the left panel and edit the Beginning Date and Final Date to include the date for the incident you're searching for. When you exit Discipline Plus, the Beginning Date is saved, while the Final Date defaults to the current date.
