Calendars

You can view school-wide calendar events and post events for your classes. This chapter describes the following tasks related to viewing calendar events and managing your class calendars:

View Calendar Events

You can view all school-wide and class events, as well as posted assignments, by clicking the Calendar tab on the Master menu.

Important: You will only see the Calendar tab if your PlusPortals administrator has enabled it.

The diagram and table below provide an overview of the Calendar.

Click the arrows to navigate to a different day, week, or month (depending on the current view) or click to view a specific day.

Note: Co-teachers see asterisks next to their class sections.

Click an option to view the calendar one Day at a time, a Week at a time, by the Month, or as an Agenda.


Tip: On the Upcoming Events panel on the Home tab, you can view upcoming school-wide and class-specific calendar events, as well as coursework you post to the calendar. Click an event to view details.

 


Create a Class Calendar Event

You can add class events, including assignments, to your class calendar, for students and parents to view on their portal calendars.

To create an event for your calendar, follow these steps:

  1. On the Master menu, click the Calendar tab, and double-click the day you're creating the event for or click New Event.

Important: You will only see the calendar event options described in this task if your PlusPortals administrator has enabled them.

On the Home tab, for the class you're adding the event to, click > Add New Class Event.
 


Tip: On the Manage Events page, you can create an event by clicking New Event.

The Event dialog box opens.


 

  1. Type a Title, Summary, and Location for the event.
  2. Next to Visible To, select the appropriate check boxes to display the event to Parents and/or Students.
  3. Next to Start and End, type a start and end date, or click to set a start and end date, for the event.
  4. To set the time, do one of the following steps:
  • To set a start and end time, type the time next to the start and end date, or click, and then click the appropriate time in the drop-down list.
  • To create an all-day event, select the All Day Event check box.
  1. Optional: In the Select Category drop-down list, select a category for the event.

Tip: If permitted by your administrator, you can edit a category you created by clicking the category in the Select Category drop-down list, and then clicking Edit. To delete a category you created, click the category in the Select Category drop-down list, and then click Delete.

Important: Your ability to create, edit, and delete event categories depends on the teacher permissions set by your administrator.

  1. In the  Repeat  drop-down list, select the repeat frequency for the event. By default, the repeat frequency is set to Never, but you can set the event to repeat Daily, Weekly,  Monthly, or Yearly. Depending on the option you click, additional settings display below the Repeat drop-down list.


Repeat Daily Event Settings


  1. Next to Repeat every, enter the repeat frequency (in days).
  2. Under End, specify when you want the event to stop displaying in the calendar by clicking one of the following options:
    • To display the event indefinitely, click Never.
    • To display the event for a specific number of occurrences, click After, and then enter the number of occurrences.
    • To stop displaying the event on a specific date, click On, and then type the date you want the event to stop displaying, or click to select the date.

Repeat Weekly Event Settings

  1. Next to Repeat every, enter the repeat frequency (in weeks).
  2. Next to Repeat on, select the check boxes for the days of the week you want the event to repeat.
  3. Under End, specify when you want the event to stop displaying in the calendar by clicking one of the following options:
    • To display the event indefinitely, click Never.
    • To set the event to display for a specific number of occurrences, click After, and then enter the number of occurrences.
    • To stop displaying the event on a specific date, click On, and then type the date you want the event to stop displaying, or clickto select the date.

Repeat Monthly Event Settings

  1. Next to Repeat every, enter the repeat frequency (in months).
  2. Next to Repeat on, click Day  and enter the day of the month you want the event to repeat

or

select the week and the day of the week you want the event to repeat.

  c. Under End, specify when you want the event to stop displaying in the calendar by clicking one of the following options:

  • To display the event indefinitely, click Never.
  • To set the event to display for a specific number of occurrences, click After, and then enter the number of occurrences.
  • To stop displaying the event on a specific date, click On, and then type the date you want the event to stop displaying, or click to select the date.

Repeat Yearly Event Settings

  1. Next to Repeat every, enter the repeat frequency (in years).
  2. Next to Repeat on, click the month and enter the day you want the event to repeat

or

select the week, the day of the week, and the month you want the event to repeat.

        c. Under End, specify when you want the event to stop displaying in the calendar by clicking one of the following options:

  • To display the event indefinitely, click Never.
  • To set the event to display for a specific number of occurrences, click After, and then enter the number of occurrences.
  • To stop displaying the event on a specific date, click On, and then type the date you want the event to stop displaying, or click to select the date.
  1. In Select Sections, select the check boxes for the class sections you want to apply the event to.

Note: Co-teachers see asterisks next to their class sections.

  1. Optionally, you can choose to do any of the following:
  • Attach a file to the event from the Attach File From drop-down list.

Important: The file size limit for attachments is 50 MB.

  • Add a link to the event by typing a title in Link Text and typing the URL (beginning with http://) in Link URL.
  • Send an email to students and/or parents by selecting the Send E-Mail Notification check box. (See Automatically Send E-mail Notifications.)

Important: If you cancel the email, the event is still created. To send an email later, you will need to edit the event. (See Edit a Calendar Event.)

  1. Click Save, and then click OK.

 


Edit a Calendar Event

You can edit calendar events that you create using the following steps:

  1. On the Master menu, click the Calendar tab.
  2. In the calendar, navigate to the event you want to edit and double-click the event.

or

Click Manage Events, and for the event you want to edit, click .

Note: If the event has multiple occurrences, you are prompted to confirm whether you want to edit the selected occurrence or all occurrences in the series.

  1. Edit the settings in the Event dialog box as needed. (For details on calendar event settings, see Create a Calendar Event.)
  2. Click Save, and then click OK.

Tip: You can change the date for an event by clicking the event and dragging it to another location on the calendar.

 


Delete a Calendar Event

You can delete events you've created from your class calendar using the following steps:

  1. On the Master menu, click the Calendar tab.
  2. In the calendar, navigate to the event you want to delete and click x in the right corner of the event.

or

Click Manage Events, click for the event you want to delete; or to delete multiple events, select the check boxes for the events and click Delete Events.

  1. When prompted, click Delete, and then click OK.

Note: If the event has multiple occurrences, you are prompted to confirm whether you want to delete the selected occurrence or all occurrences in the series.

 

 


Export Your Calendar Events to an ICS File

You can export calendar events to an ICS file using the following steps:

  1. On the Master menu, click the Calendar tab.

Important: You will only see the Calendar tab if your PlusPortals administrator has enabled it.

  1. Click Export Events.

Tip: If you're on the Manage Events page, click Export Events.

The Export Events to ICS file dialog box opens.

  1. Next to Begin Date and End Date, type the date range for the events you want to export, or clickto select the date range.
  2. Click Export.

 


Export Calendar Events to PDF

You can export daily calendar events, weekly calendar events, and/or your agenda to PDF by clicking the Calendar tab on the Master menu and following the steps described in the table and figure below.

Important: You will only see the Calendar tab if your PlusPortals administrator has enabled it.


   PDF Export Process

Click Day, Week, Month, or Agenda to display the calendar view you want to export to PDF.

Select the events category you want to export.

Click the arrows or click to navigate to a different day, week, or month in the calendar.

To export the calendar, click Export to PDF.

Print Upcoming Calendar Events

You can print upcoming calendar events in agenda or calendar view using the following steps:

  1. On the Master menu, click the Calendar tab.

Important: You will only see the Calendar tab if your PlusPortals administrator has enabled it.

  1. Click Print Events.
  2. In the dialog box, click Print Agenda View or Print Calendar View.

  1. In the Filter drop-down list, select the events category you want to print.
  2. Next to From and To, type a date range, or click to select a date range, for the events you want to print, and then click Print.

The events display in either agenda or calendar preview mode.

  1. In the upper-right corner of the preview, click PrintThe Print dialog box opens.
  1. After selecting the appropriate printer options, click Print.
