Views

For information you anticipate viewing often, you can sort and filter your data to display it and save it as a view. You can create multiple views to switch between collections of data. For example, you can filter your data to display only prospects in the inquiry stage of the admissions process and save your view as "Inquiries". You can then create another view of all prospects who have been accepted.

Create a Prospect List Page View

On the Prospect List page, you can create a view of data you anticipate looking at frequently. When you create a view on the Prospects, Contacts, SuperDB, or Portfolio tab, you can choose which columns of information to display. For the Communication Log or Notes tab, you can filter the data on an existing view and save the changes as a new view.

Create a Prospects, Contacts, SuperDB, or Portfolio Tab View

  1. On the left navigation menu, click Prospects > Multiple Prospects.
    Views can only be created on Multiple Prospect.
  2. Click the Lookup, Contacts, SuperDB, or Portfolio tab.
  3. In the View Options drop-down list, click Add.
  4. The Select Columns dialog box appears. Refer to the diagram and table below to create a view:

    Type a View Name.

    Click a tab to view its fields, or stay on the All tab to view all fields.

    In the Available Fields list, select a field to add to the view, and then click to move it to the Selected Fields list.

    You can move multiple fields at once if they are consecutive. Click the first field and drag your mouse to highlight the other fields you want. Then, click to move them to the Selected Fields list.

    In the Selected Fields list, select a field you want to remove from the view, and then click to move it to the Available Fields list. You can remove any field except Name.

    You can move the fields into the order you want them to appear on the view. Click a field in the Selected Fields list, and then click to move the field to the left or to move the field to the right. You can reorder any field except Name.

    If you want to use this view to sort the lottery and assign waitlist numbers, select the Set As Lottery View check box.

    At the top of the Select Columns dialog box, click Save. The Current View becomes the new view.

Create a Communication Log or Notes Tab View

  1. On the left navigation menu, click Prospects.
  2. Click the Communication Log or Notes tab.
  3. In the Communications Log View drop-down list, select the view with the data you want to filter.
  4. In the header of the column you want to filter, click  .
  5. Do any of the following:
    • Select the Select All check box.
    • Select the check boxes of the data you want to filter.
    • In the search bar, type the text you want to search for, and select the check boxes for the data you want to filter.
  6. Click Filter.
  7. In the View Options drop-down list, click Save As.
  8. In the Save View As dialog box, type a name for the view.
  9. Click Save.
